Coffee machine update

Mukund – Unlikely. In other colleges, college staff does all the maintenance and students just provide funding and choose model. College staff have said they won’t be able to do maintenance, although a company can come in and do this once a month, most models require daily cleaning too, even if simple for only 10 mins. Doesn’t trust students to do that, even missing out for a couple days may create issues.

Elsa – Could make it part of future foodie role if they are interested in that.

Phoebe – best to leave it for now then, big undertaking.

Freshers’ Week update

Callum – wanted to hear more views as few people attended meeting last week.

No notable views expressed today either.

Fridge update

Meg – 94 applicants, 82 fridges, accounting for mould, only 80. Went smoothly, everyone who showed need/higher year/international got one. Otherwise randomised. 12 people didn’t get it but wanted (all freshers). 4 no shows, 2 ended up not getting it as it was mouldy. 1 person severely injured, ended up getting stitches and tetanus shot. All good now.

Callum – very well done.

Committee feedback form

Callum – way we did it last year wasn’t great, new idea is poster outside. Can anyone help with graphic design? 

Questions to ensure it will be anonymous and to check what was bad last time (low engagement). 

Jade – Offers to help out.

Nativity play funding

Elsa – Charity musical didn’t happen last year, so rolled over to this year. So have £500 rather than regular £250. Plan was to split this into two - £250 for Nativity Play and £250 for Charity Musical.

Phoebe – Do we have someone taking the lead on the Charity Musical? Issue was last year confusion over organisation.

Elsa – Can send out an email asking about interest.

Housing reps

Callum – Had a meeting with Keeley joined by Elsa and housing reps. She is worried about timeline wants to make sure we have a priority encoded soon. At the moment, for mainsite, starting from lowest priority – second year; no exams; had exams but had lived before; had exams and have not lived before.

Avrah – Confirms that we will let people choose whether they want their priority in third or fourth year.

Callum – yep. Can adjust wording accordingly.

Elsa – explains current priority list (didn’t get it down as it was a lot).

Callum – Keeley wants us to get priority list sorted by end of term. And wants an idea of numbers in Jowett and Masters so she can allocate rooms to graduate. Would people be ok with us doing balloting and priority in Michaelmas and do room choosing later? Do this via GM and encoded in Constitution.

Mukund – Would people find it difficult to decide which ballot they want to enter this early?

Callum – Early compared to Oxford but not compared to other places.

Keira – Other colleges do it this early too, like New.

Elsa/Callum – ballot for Jowett and master’s must be done by Week 6.

Callum – We won’t do it differently for short and long lease.

Elsa – We could do this in multiple stages so people know if they won’t be able to enter short lease ballot early on.

Keira – The moment when room allocation is live, you can tell if those rooms have gone, might not be necessary.

Callum – Only change is Keeley doesn’t feel she will have time to do housing allocation herself, are housing reps ok to do that themselves?

Elsa – Main issue was with people not understanding room priority, college now does this you only have to do actual ballot.

Avrah – Last year wasn’t the issue at the ballot itself?

Callum – Hasn’t happened before and Keeley not comfortable doing it, so everything up to that point Keeley does in a standardised way, but housing reps will have to do the actual ballot. Also avoids the abuse they face.

Cassie – being more transparent and having it all recorded would help. Maybe another JCR member join on the call, or have the spreadsheet history on.

Keira – with people swapping rooms, wasn’t clear exactly who was in which room.

Callum – was a GDPR issue. But can check with Keeley to find a way out.

Jade – confirms that coming into the next GM, we want to create a draft constitutional amendment codifying everything that we have said. Including dates etc. too (starting next year).

Mukund – confirms that dates wouldn’t bind Keeley as she is not a member of JCR but a College Officer.

Avrah – yes, but she wanted to make sure that anything she did was on the basis of agreement with JCR and this provides that.

Callum/Adam/Elsa – also applies pressure on Keeley to stick to what we encode, and she likely will even if she doesn’t have to.

Toby – Is College Parents’ dinner subsidised?

Callum – No, never has been historically.
