JCR Committee Meeting 4 HT26 — 09.02.2026
In attendance: President, Secretary, Treasurer, Housing, VP Admin, Foodie, Entz, EMO, Website and Computing, Lord Lindsay, Duckworth, E&E, Welfare, Comrade Shakespeare.
Non-committee members: Maddy Evans (garden party president).
I. Welfare week
Arthur: Planning to do similar things as last year. Can we work with the bar again for beads and booze?
Will: Yes.
Arthur: Last time events were also run by CAFGO, Women* reps, EMO, E&E, etc. We have £200 for welfare week so can provide budgets for snacks/craft materials/etc.
Toby: Please organise things! We have the budget for it.
Eve: Events outside of welfare week would be good too.
Arthur: Make welfare week great again (?)
Adam: Put a message on the group chat for the roles who aren’t present.
Toby: A&B starting up again?
Will: Week 5 and week 8 maybe.
II. Garden party update
Maddy: It’s great that we got the £3500 GM funding. Current budget is £28k, pretty good, though less than last two garden parties. Slightly smaller event than previously, but working towards a smaller event in the future to taper off JCR funding.
- Barty was great, got £100 funding.
- Tickets went out last Wednesday. 50 left, should sell out by May. Access tickets happen automatically through battels. 442 tickets total.
- Budget breakdown: £10.8k for production, £6.5k for food, £6.5k for drinks, £2.8k for entertainment and music, £1.5k contingency.
- Production includes £1.5k for decoration; £1.6k for security; £4.6k for RJCC events company with bar stands, sound equipment, etc.; £1k for waste management, portaloos, etc.; £1.5k for first aid; the rest for a photographer and pizza party in Jowett.
- Pizza party in Jowett for those who don’t want to go to the garden party, since we recognise not everyone will attend and will not have access to mainsite for the duration.
- Entertainment includes student bands e.g. DFO, some Balliol students performing, SOAS cèilidh to fit the folklore theme.
- Event ends at 10pm.
- Room for welfare: snacks, water, 2 medics. Also a prayer/faith room.
- Marketing: barty, Instagram.
- Food: street food company who have done big festivals before. Tried to include lots of variety — fish and chips, burgers, greek food, crepes possibly.
- Drinks: sponsorship from Love Jericho, two cocktails per person, only paying £3k, which is a £2k discount; another Balliol-run stall with unlimited drinks. Estrella partnership maybe.
- Non-musical entertainment: less high priority but still will have some things on theme like puppet shows.

Michael: Will you give some outfit inspo?
Maddy: We’ll put some out, the dress code is semi-formal, e.g. floral dresses, shirt and trousers, can get creative. If you want to go formal, you can.
