Welfare Week went well.
Pantry Prices (Treasurer)
May schedule Finance Subcommittee Meeting at end of term. Aim to publish a document at end of term for transparency.
Bar Pool and Table Football Tables (Lindsay)
College has a lot of issues with cash, not very transparent, fears of money laundering. Offer from owner of bar pool and table football tables to buy them, will make them free, low maintenance cost. Most of costs are related to payment mechanism, second that is changed main area is cleaning, not an issue. Biggest issue is if felt rips, but the current owner is happy to help in the future if any issues come up. Consensus in favour. Fear of stealing, but issues with handling cash are greater.
Library Meeting
VP Admin has taken up role of Academic Affairs officer, attending library meeting next week, any views?
One issue – people leaving their stuff at tables and going away. Maybe a system to deal with it? People sometimes leave their books to reserve spaces. We like library pop-up, can we make it more often? Increase DVD collection?
Charity Musical
They need someone to help with technical side of things, e.g., ticket collection. Charity reps most likely best situated to help. Want a bar too, Lindsay believes this is covered in license so happy to do that if Jacob gets in touch. Otherwise, all going well.
A&B Treasurer
Abby wants to move on at the end of the term, if you like wine and spreadsheets and getting paid. Only requires work during A&B. Spread the word. Some committee members already interested.
Websites
We have an anonymous reporting element of website, only one person has used it. Can have it directed to some subcommittee specifically. Can either continue with this or instead put forms at the bottom of Welfare emails, but will need to be monitored regularly. Will likely to be used for more general issues, specific issues must still be directed to college. Consensus to scrap it.
Second website is Balliol scheduler, but VP Org is a current alternative. VP Org happy to give editing access to Bar team if needed. Benefits of sticking to current one – VP Org able to manage it, continuity is good, positive feedback. Discussion of clashes – OK as long as they are using different spaces. Otherwise, cost is over £15 a month. Consensus to stop paying for Balliol scheduler. VP Org has big dreams for the website and increased traffic, to be added to agenda for next week so we can all contribute to this dream.
Dylan paid out of pocket regularly for upkeep of these websites, totalled around £500 by now. They assumed this was in the budget because of the way their predecessor gave them instructions. To repay them, this will mean that budgets will be reduced next term likely. Consensus for them to be repaid.
